JOB SUMMARY

Responsible for administrative and operational support for Shared Services and property Human Resources (HR) department; including, but not limited to, team member engagement oversight, OSHA tracking, VRC licensing oversight, training, administrative upkeep of HR training materials, Company intranet, and Standard Operating Procedures (SOPs), and orientations as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provides next-level guest service to internal and external guests. Demonstrates #AddLife culture in all interactions with guests and co-workers.
  • Maintains high level of confidentiality regarding Team Member issues and documentation, in accordance with established procedures with company policy and federal and state regulations.
  • Responsible for providing overall operational support to the Shared Services HR department and support to the property HR teams as needed.
  • Acts as the first point of contact to support the overall Shared Services and OTB team members for all personnel inquiries. Will redirect situations or questions that are outside the scope of responsibilities/authority to the Director of HR – VA. 
  • Serves as the liaison between the Virginia Racing Commission (VRC) and each property; ensures the weekly VRC appointment spreadsheet is submitted in a timely manner and updates the HR department of all VRC updates. Seeks opportunities to streamline the licensing process as needed.
  • Oversight of company Team Member Engagement Program. Will work closely with HR leadership team to contribute ideas, suggestions, and procedures to enhance the Team Member engagement experience at all properties.
  • Responsible for communicating HRIS updates, training new team members in HRIS and serving as subject matter expert of HRIS.
  • In charge of producing all HR How-to Guides, keeping them current and conducting annual audits of each guide to ensure necessary changes have been made. Responsible for distribution of guides, and updates, and necessary accompanying training.
  • Responsible for ensuring the training platform, Vector Solutions, is up to date. This includes, but not limited to, administrative updates, adding new team members and or positions as necessary, etc. for all properties.
  • Responsible for maintaining the company intranet, Rosie’s Report, updated as needed.
  • Responsible for all OSHA data entry and reports into the HRIS.
  • Monitors all requisitions on a consistent basis for all locations and works with property leadership to promote efficient hiring practices. Assists with posting approved requisitions in the HRIS for all properties.
  • Assists with all new VA property openings to include but not limited to, job fairs, new hire orientations, trainings, etc.
  • Provides additional support with all hiring efforts during the Live Racing season.
  • Responsible for completing and sending all employment verifications for all properties.
  • Responsible for processing and submitting unemployment claims.
  • Assists with Team Member investigations as directed under the guidance of the Director of HR - VA.
  • Assists with the planning and execution of Open Enrollment for all properties.
  • Assists with special projects, events, orientations – including conducting orientations, or as needed at all properties.
  • Responsible for ensuring form I-9 audits are accurate and in compliance.
  • Directs team member concerns to the appropriate individual, evaluates situations and makes decisions within established guidelines and/or obtain proper authorization for responses and solutions.
  • Responsible for ensuring the appropriate levels of inventory for the HR office, as well as ordering and receiving all supplies. Assists the property Human Resources Managers with companywide supplies.
  • Resolves problems that are within the position’s scope of authority and recommends courses of action to resolve problems that are beyond the scope of authority to the position’s supervisor.

REQUIRED SKILLS AND ABILITIES

  • Excellent verbal and written communication skills.
  • Exceptional multi-tasking and organizational skills required.
  • Proficiency in computer skills, including Microsoft Office, or equivalent, including Excel, Word, Outlook, and PowerPoint.

EDUCATION AND EXPERIENCE

  • Bachelor’s Degree.
  • Five years of progressive experience in Human Resources or related field.
  • Other combinations of education and experience may be considered.
  • Must hold a valid driver’s license with a minimum of three (3) year’s driving experience.
  • Must obtain and maintain a valid racing license.

  • The Team Member will be required to sit and remain stationary for extended periods of time.
  • While performing the duties of this job, the Team Member is frequently required to sit or stand; walk; use hands to finger reach, handle, or feel objects, tools, or controls; reach with hands and arms; climb or balance; bend, stoop, kneel, crouch, or crawl; and talk or hear.
  • The Team Member may be required to lift up to 50 pounds.
  • The Team Member may be required to work long hours, including nights, weekends, and holidays.
  • The noise level in the work environment is usually moderate to loud.
  • The work environment may vary in levels of crowds, noise, flashing lights, and smoke, depending on the assigned station and guest volume.
