JOB SUMMARY
Responsible for coordinating the development, accuracy, and publication of the official racing program, including horse information, past performances, and race details. Ensures all program content is compiled, verified, and distributed in compliance with racing regulations and organizational standards to support live racing operations. This is a seasonal position for the summer race meet at Colonial Downs.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Coordinates the compilation and production of the official racing program for each race day.
- Gathers and verifies race entries, past performance data, ownership details, and horse information for accuracy and completeness.
- Works closely with the Racing Secretary, Clockers, Horse Identifier, and other racing officials to ensure accurate race data.
- Ensures all program content complies with applicable racing commission rules and internal standards.
- Edits and proofreads program materials to ensure clarity, accuracy, and consistency.
- Coordinates with third-party vendors or internal teams responsible for program printing and distribution.
- Assists in preparing overnight sheets, condition books, and other racing publications as needed.
- Updates program content to reflect late changes, including scratches, jockey changes, and equipment updates.
- Supports race day operations by ensuring timely availability and accuracy of program materials.
- Maintains organized records of program data, revisions, and final publications.
- Responds to inquiries from horsemen, racing officials, and guests regarding program information.
- Ensures confidentiality and integrity of all racing data and communications.
- Performs other related duties as assigned.

REQUIRED SKILLS AND ABILITIES
- Strong attention to detail with a high degree of accuracy.
- Excellent organizational and time management skills, with the ability to meet strict deadlines.
- Strong written and verbal communication skills.
- Ability to work effectively in a fast-paced, deadline-driven racing environment.
- Knowledge of Thoroughbred racing operations, terminology, and program structure preferred.
- Ability to analyze and verify data from multiple sources.
- Proficiency in Microsoft Office and racing/program database systems.
- Ability to maintain confidentiality and exercise sound judgment.
EDUCATION AND EXPERIENCE
- High school diploma or equivalent required.
- Prior experience in Thoroughbred racing operations, racing office administration, or program coordination preferred.
- Experience working with race entries, past performances, or racing data systems is a plus.
- Other combinations of education and experience may be considered.
- Must obtain and maintain a Virginia Racing Commission racing license.
PHYSICAL REQUIREMENTS & WORKING CONDITIONS
- The Team Member will be required to sit, stand, and walk for extended periods during race meets.
- While performing the duties of this job, the Team Member is frequently required to use hands to handle paperwork and computer systems; communicate verbally; and move throughout the racing office and grounds.
- The Team Member may occasionally lift and carry materials weighing up to 20 pounds.
- The Team Member may be required to work long hours, including early mornings, nights, weekends, and holidays, based on racing schedules.
- The noise level in the work environment is usually moderate to loud.
- The work environment may include exposure to outdoor weather conditions, crowds, and high levels of activity associated with live racing.
